How Matchmaking Agencies Bill Clients in SmartMatchApp
Invoice clients, take card payments and run retainers inside the same system you manage matches in — four gateways supported, no card data on our servers.
By Kair Mourtazov, SmartMatchApp Product Speacialist
Most matchmaking agencies collect payment outside the platform they run on: an invoice typed in a document, a card number read out over the phone, a renewal that depends on someone remembering. SmartMatchApp brings billing into the client record, so an invoice is raised where the client's profile already lives and a payment settles against it without a month-end reconciliation exercise.

Where Manual Billing Breaks Down
When billing lives outside the platform, small inefficiencies compound. The patterns that cost agencies the most time are consistent:
- Invoices built by hand. Slow, easy to get wrong, and impossible to see at a glance who owes what.
- Card details collected over the phone or by email. Uncomfortable for the client, and it creates data you should never have held.
- Renewals that depend on memory. Retainers and multi-month packages get re-invoiced manually, so revenue waits on someone remembering.
- Reconciliation as a month-end exercise. Payments land in a processor dashboard and have to be matched back to clients and invoices by hand.
- Payments split across gateways. One client pays by card, another through PayPal, another by transfer, and nothing adds up in one place.
Invoicing Inside the Client Record
With the Finances add-on enabled, staff create and send invoices directly from a client's profile. The invoice is tied to that client, so what was billed, what was paid and what is outstanding all sit next to the matches, notes and contract for the same person.
That is what removes the reconciliation step. A paid invoice is reflected against the right client automatically, which means the agency's financial picture is current rather than assembled at the end of the month. Invoices also sit alongside contract tracking, so a package's terms, expiry date and included matches stay in the same place as the money.
Keep the Gateway You Already Use
SmartMatchApp integrates with four payment gateways rather than locking you into one:
- Authorize.Net
- Stripe
- PayPal
- DodoPayments
Connect your account once and clients can pay their invoices online by card, with the payment recorded against the invoice it settles.
Payment collection isn't limited to invoices, either. Web forms can take payment during submission, so an application fee or initial membership payment clears before the person is added to your database — useful for agencies that screen on willingness to pay as much as on fit.
Card Data You Never Touch
SmartMatchApp uses Accept.js tokenization. Card details go from the client's browser straight to the payment gateway, which returns a token in their place, so raw card numbers never reach SmartMatchApp's servers. Authorize.Net's own documentation describes the mechanism: the library sends the payment data directly to the gateway and hands back a one-time token that stands in for the card in the transaction request.
This matters for more than security hygiene. Under PCI DSS, the systems that store, process or transmit cardholder data are the ones in scope for compliance. The lightest validation path, SAQ A, is written for card-not-present merchants who have fully outsourced cardholder data functions to compliant providers, with no card data stored, processed or transmitted on their own systems or premises. Keeping card numbers out of your inbox, your notes and your CRM is what moves you toward that end of the range.
Your own obligations still depend on how your agency accepts payments overall, and your acquiring bank determines which questionnaire applies to you.
Saved Cards, Retainers and Renewals
Once a client has paid, SmartMatchApp can store a tokenized customer payment profile — a saved card held by the gateway, not on our servers. That unlocks the billing pattern premium services run on:
- Clients don't re-enter card details for every renewal or add-on.
- Staff can charge a client's saved card directly for a retainer, package or agreed fee.
- Recurring subscription plans bill multi-month packages and memberships on a schedule, rather than waiting on a manual invoice each cycle.
The practical effect is fewer stalled renewals: a package that renews on a stored card doesn't depend on anyone chasing it.
International Clients and Self-Service Payment
Matchmaking rosters are increasingly cross-border, and billing should keep up. SmartMatchApp supports multiple currencies, so you invoice a client in the currency they expect while your reporting stays consistent. Business matchmaking programs and international networks hit this first, but any agency with clients in two countries runs into it eventually.
Through the member portal, clients view their outstanding invoices and pay online at a time that suits them. The payment flows back into SmartMatchApp, updates the invoice status and keeps the record reconciled with no follow-up from your side. Clients who already use the portal to update their profile, view introductions and give feedback can settle a bill in the same place.
Frequently Asked Questions
Which payment gateways does SmartMatchApp support? SmartMatchApp integrates with Authorize.Net, Stripe, PayPal and DodoPayments. You connect your own gateway account, so you keep the processor and the pricing you already have.
Can I invoice clients directly from SmartMatchApp? Yes. With the Finances add-on enabled, staff create and send invoices from a client's profile, and the invoice stays tied to that client's record with its payment status.
Does SmartMatchApp store credit card numbers? No. Card details are tokenized through Accept.js and exchanged for a token held by the payment gateway, so raw card numbers never reach SmartMatchApp's servers.
Can SmartMatchApp charge a client's card for a renewal automatically? Yes. A tokenized customer payment profile lets staff charge a client's saved card for a retainer, package or agreed fee, and recurring subscription plans bill multi-month packages on a schedule.
Can I invoice clients in different currencies? Yes. SmartMatchApp supports multiple currencies, so international clients are invoiced in the currency they expect.
Can clients pay their own invoices? Yes. Through the member portal, clients see outstanding invoices and pay online by card, and the payment updates the invoice in SmartMatchApp automatically.
